Document management software, or “paperless office” technology, replaces paper-based processes with electronic procedures, eliminating printing, posting and manual filing of paper documents.

Digital Doc View is a professional software solution for electronic document and records management. It provides facilities for storing all types of information, from scanned paper document images to electronic files, emails and email attachments. All files are securely stored in their original format and can be shared with other users once they are filed in Digital Doc View's document system. Security permissions can be set for each file for each user group preventing unauthorised modification or deletion of documents.

Digital Doc View is a responsive, interactive and efficient computerised document management system for electronic and paper documents, replacing conventional modes of filing documents.

Using Digital Doc View is a simple five-step process.

Filing: Once a document has been scanned or imported, the user needs to assign a specific group (cabinet) to the document so that all future retrievals of that document are a simple, fast process. Different types of groups (cabinets) can be created from the administrator screen for different categories, i.e. Client Names, Suppliers, Document Types, such as VAT and Invoices. Once filing is complete, Digital Doc View's powerful OCR engine sorts through all the scanned documents and generates text based information for each document to enable the system to search through the contents of documents.

Storage: The Administrator can define the storage location for the documents in the system. The document-storage location can be anywhere on the network, on the same computer as the Digital Doc View server, or on an external drive(s).

Security: The document owner and the Administrator can set the security permission for each document separately according to user-groups, thus preventing unauthorised modification or deletion of documents. Knowing that documents are totally secured against unauthorised access or loss, gives business owners and managers total peace of mind. Defined user groups are able view and modify a document but will not be able to delete it, while other user groups may have full control over the document. Now you know that your documents are totally secured against unauthorised access or loss.

Document Searches: Searching for a specific document or keyword is straightforward with Digital Doc View. Its powerful search engine allows for all cabinets or specific cabinet searches to make retrieval even faster.

Digital Doc View: provides a backup facility so that your documents are regularly automatically backed-up as insurance. With Digital Doc View, the user can manually backup or set a scheduled backup that runs according to the times you set. In addition, the Administrator is able to archive old documents from the archive when required. Archiving will increase the space available on the main server making document retrieval even faster.
